What it does
Chargebacks are when a customer calls their credit card company and disputes a charge as fraud. Every chargeback against your store puts your payment processor at risk. Too many in a short window and Shopify Payments (or any processor) freezes your account.
Even when you're not scamming, people will chargeback you. Especially when:
- Shipping is delayed
- The product didn't match expectations
- They forgot they bought it
- Their partner saw the credit card statement
- They're flat-out scammers fishing for free product
ChargeFlow (and apps like it) deflect chargebacks before they hit your processor by alerting you the moment a dispute is filed, fighting the dispute on your behalf, and giving you the tools to recover the customer before the chargeback closes.
Set this up the day your ads go live. Not "when I get to $1k/day." Not "when I have time." Day one. A single bad chargeback streak in your first 30 days can kill your processor relationship before you've even validated the offer.
The app options
I've used multiple chargeback protection apps. Here's the lay of the land:
| App | Status | Notes |
|---|---|---|
| ChargeFlow | What I run now | Clean, no issues, $29 per deflected chargeback |
| Disputify (Disputifier) | Strong product | Had a data leak — customer info exposed, some people lost money, but they paid everyone back. Still good business. |
| Disputely | Strong product, community connection | Founder is in my community — community members get a much better rate (~$14 per deflected vs $29 elsewhere) |
The honest take: they're all good. Compare them, pick the one you trust, set it up, and check it constantly. The worst chargeback protection app is the one you didn't install.
I rotate between them periodically to test different setups. ChargeFlow has been my default lately and I have no complaints.
The setup that matters
Integration: Shopify Payments only
| Processor | Action |
|---|---|
| Shopify Payments | ✅ Connect — this is what 90% of you run |
| PayPal | ❌ Turn it off |
Why turn PayPal off:
- PayPal customers chargeback at a meaningfully higher rate than card-on-file customers
- Chargeback protection apps can't block PayPal chargebacks — PayPal handles disputes inside its own system that these tools don't have access to
- Meta optimizes around payment methods — if PayPal stays as an option, you get more PayPal customers, which means more uncovered chargeback risk
There's no real reason to keep PayPal on the cart at this stage. Maybe later when you're a multi-million revenue brand and PayPal users are a measurable revenue slice worth protecting. Not on day one.
Card on file
Add your business card to the app — this is how ChargeFlow charges you per deflected chargeback. Worth it every time. A single deflected chargeback saves you from a $30-50 dispute fee plus the chargeback rate damage.
The Alerts setup (most important)
This is the actual sauce. Get this wrong and the rest of the app does nothing.
Two fields you have to configure correctly:
1. Descriptor
The descriptor is the text that appears on a customer's credit card statement when they're charged. Found in Shopify settings → Payments → Shopify Payments → Customer statement descriptor.
By default this is your store name. You need to enter the EXACT same descriptor into ChargeFlow's alert settings so it can match incoming alerts to your store.
If your Shopify descriptor says RUNITUP*BRAND and you enter RunItUp Brand into ChargeFlow, the alerts won't match. Exact same text, exact same case, exact same format.
2. ARN (Acquirer Reference Number)
The ARN is a long numerical string that Visa issues for refunded transactions. ChargeFlow needs an ARN to validate your alerts integration is working correctly.
The catch: you don't have an ARN until you've had a Visa transaction AND refunded it.
How to generate one:
- Get at least 10 orders into your store (any product, any price)
- At least 3 of those 10 will be Visa cards (Visa is the dominant card network)
- Refund one of the Visa orders by $1-$3 (small partial refund — doesn't have to be the full amount)
- Wait ~3 days for the ARN to populate in your Shopify Payments back end
- Pull the ARN and enter it into ChargeFlow's alert settings
ChargeFlow support will actively help you with this setup — they're motivated because they only earn revenue once you're properly configured. Use their support chat aggressively.
Prevent the Next Chargeback
Toggle this on. It blocks customers who've previously filed chargebacks against any ChargeFlow-protected store from buying from yours.
You don't want serial chargeback scammers in your customer base. They cost you the product, the fulfillment cost, AND the chargeback fee. Block them at the door.
The Disputes pipeline
Once configured, you'll see disputes flow through ChargeFlow's dashboard with statuses:
| Status | What it means |
|---|---|
| Processing | Dispute filed, ChargeFlow gathering evidence |
| In review (with bank) | Submitted to the issuing bank for decision |
| Won | You kept the money |
| Lost | Customer kept the money, chargeback against your account |
ChargeFlow competes against the disputes on your behalf — pulling order data, shipping evidence, customer communication logs, and submitting it as a defense. You can also fight disputes manually if you have stronger evidence or want to handle them yourself.
The CS Recovery SOP (cross-reference Module 2)
ChargeFlow handles the system side of chargeback defense. The human side is where most of the actual recovery happens.
My customer support team has a chargeback recovery SOP:
- The moment a chargeback alert fires, CS reaches out to the customer directly via email (and now phone, with a phone number setup in progress)
- Long, structured script that walks the customer through what happened and asks them to withdraw the dispute
- The offer in exchange for withdrawal:
- Full refund of the order (they keep the money)
- Keep the product (they keep the goods)
- Gift card on top (additional incentive)
The math: it's massively cheaper to pay out the full refund + a gift card than to take the chargeback. A chargeback costs you the product, the dispute fee ($30-50), and damage to your chargeback rate. A withdrawn dispute costs you only what you would have refunded anyway.
The full CS recovery script is gatekept in Module 2 → Customer Support SOP.
AI-based recovery is in development. I'm currently building out how to do this via AI for both email AND phone outreach. Email-based AI dispute recovery is operational. Phone is next. Updates will land in the masterclass as they ship.
The 0.3% chargeback rate target
The number to obsess over:
Target chargeback rate: under 0.3%.
Anything above 0.3% triggers Shopify (and most processors) to review your account. Sustained above 0.3% with subscription products and aggressive copy and you get kicked off Shopify entirely.
I've been kicked off Shopify a few times. Honest reasons it happened (most of the time):
- Slow shipping times (drop-ship from China without proper expectation setting)
- Not being upfront with customers about delivery times
- Aggressive copy on the website / advertorials (cross-reference Module 7 → Advertorials Breakdown for compliance discipline)
- Forcing people into subscriptions they didn't fully understand
- Customer support that didn't respond fast enough
There are outlier cases where Shopify wrongly flagged a store and you fight it and win. Most of the time, the operator was at fault.
Operate white hat. Take care of your customers. You'll do well.
That's the principle. The chargeback rate is a downstream metric of how you actually treat people. Manage the upstream (shipping, copy, CS, sub clarity), and the chargeback rate stays clean.
Alternative payment processors
If you get kicked off Shopify Payments (or want backup processors set up before you ever need them):
I have direct connections to most of the alternative processors in the DTC space. Most of them I've personally met. DM me in the Dialed Discord and I'll set you up with the right intro.
This is part of the operational safety net — having a backup processor ready means a Shopify Payments freeze doesn't kill your business. Don't wait until you need one to start the relationship.
